A useful delivery-note workflow starts with a simple question: can the next person understand this shipment without making a phone call?

Give every shipment a clear reference

For a custom portal, we recommend keeping the delivery-note number, shipment reference, dispatch date and customer reference together. A shared reference makes it easier to connect a note with a booking, an update or a customer enquiry.

Make the handover easy to read

Use separate sections for the sender, delivery location, contact person and item details. Include package quantities and space for remarks. Agree the fields with your operations team, especially when a shipment may be delivered in parts.

  • Shipment and delivery-note references
  • Sender and receiver details
  • Items, packages and expected quantities
  • Delivery instructions and discrepancy remarks
  • Recipient acknowledgement and delivery attachments

Keep delivery evidence connected

A delivery note and proof of delivery serve related but distinct steps in the workflow. FedEx, for example, provides proof-of-delivery records through shipment tracking, with a signature image where available. Your portal can be scoped to connect supporting evidence with the relevant delivery record.

Design access around the customer

Decide who can create, edit, view and download each record. A driver, an operations manager and a customer may need different views. We can customise these screens and document formats around your actual handover process.
